Supplier Allocations

Allocating documents

An important element of the allocating system in the online accounting program mKsiegowa.pl is the preview of the payment status of documents. In the Supplier Allocations screen in the module Purchases, you can view the payment status of settlement documents such as purchase invoices, payments, credit notes, etc.

On this screen, you can also make adjustments to costs on off-balance sheet accounts for late payment.

Supplier allocations

You to select a specific supplier, date range and document type with the filters at the top of the screen.  Overdue purchase invoices  are marked in colour.

The value of the document and the balance are displayed in the right column.

Allocating purchasing documents

If there are unallocated documents, on their right side there is an icon to allocate them.

After clicking the icon, the program displays a screen where unallocated documents (if any) appear.

You can enter the amounts of allocations of individual documents so that the total amount (Total Allocated) doesn't exceed the value of the document. After entering the amounts, click Process.

On this screen, for example, you can correct the payment for credit notes with the corresponding invoices.

Entering payment for documents

Documents such as purchase invoices, payment from suppliers and posting to the bank accounts of the selected supplier can be paid from this screen after selecting the appropriate icon. Supplier Payment type of document will be entered.

After selecting the option Show settled, the program presents also the documents that were previously settled.

Correction of input VAT due to Art. 89b section 1 of the Act

On the Supplier Allocations Inquiry screen, you can easily correct input VAT on unpaid invoices.

First, in the System Setup (Setup module) you have to set up Unpaid Invoices VAT Reverse Account.

In the Supplier Allocations screen, you need to find the unpaid invoice. If the due date is delayed by min. 90 days, an icon appears next to the invoice that allows you to create an appropriate document to reverse VAT.

After the payment, the program allows you to create a PK document (standard audit file), which transfers the VAT back to the appropriate VAT accounts.

The VAT transfer documents are reported to the file JPK_V7 (fields K_46 and K_47).

A detailed description, with reference to the relevant provisions, is provided in our guide, in the article on VAT correction after the due date.
