Workflow

  • The normal procedure is first a Purchase Order (PO), then a receival note (GRN) and then a Supplier Invoice (menu on right side).
  • If you do a Direct Supplier Invoice, all these stages will be performed in the background.
  • If you do a Direct GRN, a PO is done in the background. When the Supplier Invoice is received, you use the Supplier Invoice (menu on right side).

The Purchasing Account is first debited when delivering (Delivery Note) the Product and the Inventory is credited. The stocks are still in our possession until delivering.

What happens when you don't know exactly the price?

It may happen than during delivery you don't know the final price of goods. On the other hand you may want to enter the GRN document to be able to sell it.

Consequences of such case are that cost of goods cannot be properly calculated for sales invoice.

As a workaround the system works as following:

  • when entering a purchase invoice for such GRN with final prices the system generates a journal entry that fixes stock value
  • cost of goods should be fixed accordingly using a separate journal entry document
