Introduction
In the online accounting program mKsiegowa.pl you can issue invoices for the fixed asset sale. You can enter invoices in the module Fixed Assets.
Additionally, the program automatically creates a delivery note for each sales invoice.
Invoice header
Select the customer in the field Customer in the invoice header. If they aren't available on the drop-down list or we want to change the data of the customer, then we can do it by clicking on the sign
.
If they have a currency other than PLN set, the currency symbol and the Exchange Rate currently entered in the system are displayed on the screen. Exchange rates are saved in the program automatically and you can view them in the module General Ledger → Exchange Rates.
More about issuing an invoice in foreign currency.
Clicking on the Current Credit amount redirects you to the screen showing previous transactions with the given customer.
The reference number is both the internal number of the document in the system and the invoice number. The program generates the number automatically based on the last number saved in forms setup - type = Sales Invoice.
Further, we define payment terms:
- initially, the default payment terms saved for this customer are displayed,
- the list of allowed payment terms can be limited for each user by point of sale settings.
In the next field, you can change Invoice Date and VAT Date.
Notes:
- invoices can be entered only within the selected fiscal year; you can set the fiscal year in the module Setup → Company Setup
- The Invoice Date must be later than that specified in Closing GL Transactions
Invoice contents
Below, in the section Sales Invoice Items, select fixed assets. Select items using a code or from a drop-down list. After specifying the quantity and price, click on Add Item on the right side.
You can modify previously entered items at any time. To do this, click the icon
on the right side of the selected line.
The items used on the invoice can be defined/changed in the FA Items.
Invoice footer
In the lower part, in the field Delivery Details, you can select the location, delivery address and other details.
Delayed payments (from bank accounts) can be entered in the module Sales → Customer Payments.
If payment through the cash has been selected, then the program allows you to automatically generate and post the appropriate invoice payment document. To do this, you need to check the box next to Generate Payment to Supplier document.
The program allows you to select the location and to enter additional comments on the invoice.
Finally, click the Place Invoice button at the bottom of the screen.
Print invoice
Invoices can be printed from many places in the program:
- after issuing the invoice, the program displays a screen with a link to printing the invoice
- in the Customer Transactions Inquiry there is a print icon next to each invoice, on the right side of the line
- you can print a single invoice or the entire range of invoices in Customer and Sales Reports in the module Sales; you can select Original, Copy or Duplicate. You can print a duplicate invoice
Invoice printout can be easily configured in the program.
After entering the invoice, it can be sent by e-mail to the customer. Invoices are sent as attachments in PDF format.
Note
- The invoice can be modified after it has been issued.
- The language in which the invoice will be printed (currently available are Polish and English) is set in tab Contacts in Customer branches.
Accounting scheme for sales invoices and FA Inventory documents
The sale invoice is posted immediately after it is issued according to the following scheme:
| Account Name | Where Can I Set It | Party |
|---|---|---|
| Receivable Account | Customer Branches | Debit |
| Sales Account | FA Items | Credit |
Notes:
- The sales account in the customer branches should be set to Use Item Inventory/COGS Account
- If the Customer is in the Domestic customers tax group and the VAT tax is configured in the program, then the VAT is posted to the appropriate account on the credit side.
- You can view sale invoice posting in Journal Inquiry. Document Type = Sales Invoice.
- The amount in the Transportation Cost field is posted to the account set in System and General GL Setup in the Shipping Charged Account field.
FA Inventory is posted according to the scheme:
| Account Name | Where Can I Set It | Party |
|---|---|---|
| Asset Account | FA Items | Credit |
| Depreciation/Disposal account | FA Items | Debit |
Posting in the VAT inquiry
If the program is configured to handle VAT, sales invoices are saved in the VAT sales inquiry. The recording method depends on the customer's tax group settings and the items used in the invoice. A detailed description of how to enter invoices in the inquiry and VAT declarations is provided in the table.
Payment for an invoice
The program includes full support for the settlement of issued invoices. Payments can come from cash, bank accounts and other settlement accounts (e.g. electronic payments). The options for recording payments and settlements are as follows:
- there is the option on an invoice Generate Payment to Supplier document, it is useful for cash payments (description above);
- in the module Sales and General Ledger, there is the option Customer Payments available, which can be used to record payments by bank transfer for invoices;
- in the module General Ledger, the option Deposits is also available; this option is recommended when we register a transfer, but the invoice has not yet been issued;
- you can 'connect' later the payment with the invoice in the Allocate Payments.
